Keep your documents ready before you apply. Many off-campus drives and online assessments move fast, and missing papers can cost you an interview or a joining date. Use this checklist to prepare, and keep digital copies in one folder.

Documents needed while applying

  • Updated resume in PDF, one page for freshers. See our resume tips for freshers.
  • Mark sheets of Class 10, Class 12 and every semester or year of graduation.
  • Degree certificate or provisional certificate if you have already completed your course.
  • Government photo ID, usually an Aadhaar card, PAN or passport. The name must match your resume.
  • Passport-size photographs, recent and with a plain background.
  • Cover letter or portfolio links, where a role asks for them, such as GitHub for developers.

Documents needed after selection

  • Offer letter and signed acceptance.
  • Address proof and PAN card.
  • Previous employer documents, if you have worked before: relieving letter, experience letter and recent payslips.
  • Bank account details for salary.
  • Background verification forms, which may include education and address checks.

Tips to stay organised

  1. Scan everything at good resolution and name files clearly, such as Sainath_10th_Marksheet.pdf.
  2. Store copies in cloud storage and on your phone.
  3. Make sure the name, date of birth and spelling are the same across all documents. Fix mismatches early.
  4. Keep a few printed sets for in-person drives or walk-ins.

Protect your documents

Share personal documents only with the official employer, and only after a genuine offer or verified process. Be careful when someone asks for your Aadhaar, bank details or a payment before an interview. Read how to spot fake job offers before you send anything.

Documents explained, one by one

Resume. Your resume is your sales document. For freshers, one page is enough. Use a clean layout with your contact details, education, skills, projects and achievements, and export it as a PDF so formatting does not change.

Class 10 and Class 12 mark sheets. Many companies verify your complete academic record. Keep both mark sheets and pass certificates. Note the percentage or CGPA clearly, since some drives apply a minimum cut-off in each stage.

Graduation mark sheets and degree. Keep every semester mark sheet. If your final certificate has not been issued yet, ask your college for a provisional certificate or a letter confirming your course completion and result.

Government ID. Aadhaar, PAN, passport or driving licence are the usual choices. The name on the ID must match the name on your certificates. If there is a difference, get an affidavit or correct the record early.

Photographs. Recent passport-size photos with a plain background are enough. Keep a digital copy as well.

Experience documents (if any). Internship certificates, offer letters, relieving letters and payslips help prove your work history. If you did a short internship, a certificate or email confirmation is useful.

Skill certificates. Course completion certificates from recognised platforms, hackathon certificates and competitive coding ranks give recruiters extra evidence. List only those that are relevant to the role.

Common problems and how to fix them

  • Name mismatch: if your name is spelt differently across documents, correct it with the issuing authority, or prepare a notarised affidavit.
  • Missing final certificate: carry the provisional certificate and a letter from your institution. Many companies accept this with a condition to submit the original later.
  • Low-quality scans: blurred or cropped scans can be rejected. Scan at a good resolution in a well-lit place, and keep file sizes small enough for upload forms, usually under 1 MB or 2 MB.
  • Date of birth errors: check your date of birth on Aadhaar, PAN and certificates, since a mismatch can delay background verification.
  • Gap in education: be ready with a clear and honest explanation, for example for preparation, health or family reasons.

Background verification: what to expect

After an offer, many employers run a background check through an external agency. This usually covers identity, education, address and, for experienced candidates, previous employment. Be truthful in your application. A false detail found later can lead to the offer being withdrawn, even after you have joined. If you are unsure about a date or a result, mention it and attach proof rather than guessing.

Digital organisation system

Create one folder called "Job Documents" with sub-folders such as Academics, ID, Experience, Certificates and Offers. Name each file with a consistent pattern, for example 10th_Marksheet.pdf or Aadhaar_Front_Back.pdf. Keep a master list with expiry dates for items like passports. Back this folder up on cloud storage and in your email drafts so that you can reach it from any device on the day of an assessment.

Safety rules for sharing documents

  • Share ID proofs only after you have verified that the employer or recruiter is genuine.
  • Never send your bank passwords, OTPs or card details to anyone claiming to be an HR team.
  • Be careful with job offers that ask for a "refundable deposit" or "training fees". Read how to recognise fake job offers.
  • Mask sensitive numbers on copies where the form allows it.
  • Keep a record of what you sent, to whom and when.

Preparing for interviews with your documents

Carry two printed sets for walk-in interviews and keep the originals in a folder. Arrive early, because verification queues can be long. For online interviews, keep scanned copies open on your device in case the recruiter asks you to show them on camera. Pair this checklist with the off-campus drives guide to plan your complete application journey.

Frequently asked questions

Do I need all documents at the time of applying?

No. Most applications need only a resume and basic details. Marksheets, ID and other proofs are usually requested later in the process.

Should I pay for document verification?

No. Genuine employers do not charge candidates for verification. Report and avoid anyone who asks for money.
